Ordered all office supplies, cell phones and pagers for use by inspectors and key Amtrak, BART and SAMTrans personnel; and ensured that equipment was properly maintained.  Employee hours transferred to reports to ensure accuracy for payroll service (ADP). Invoicing for A/R was done monthly.  Developed reports to track ongoing jobs to ensure guidelines met. Issued weekly reports to company President: verified hours and total billing for the week; and to the Peninsula Corridor Joint Powers Board (overseer of SAMTrans) to show amounts billed were in the “not to exceed” budgets set for each individual project.   3/96 through 3/97 – Administrative Assistant / AnalystComprehensive Community Home Health and Hospice, Brisbane, CAManaged the billing department personnel staff (ten people), and assisted management in reports and analysis. Reviewed employee time sheets relating to services provided, time, duration, direct and indirect allocations. Gathered historical and concurrent data for reports on patient by type of visits provided per patient admission, and by diagnosis. Designed forms to best meet these reporting requirements. Researched nursing and health care positions throughout California and gathered historical and concurrent data for analysis. Prepared comparative reports for use by supervisory staff in analysis of patient care services and assignment of staff. Monthly goals and objectives were developed and a time-line to accomplish assigned responsibilities. 3/91 through 3/96 – Alarm Suppliers, Inc., South San Francisco, CAHead Purchaser - For three years I reviewed each of the five branches for inventory and scheduled all deliveries as needed so that product was always on the shelves. Negotiated bulk prices with vendors. Worked with vendors to ensure we had product while they were running promotions. Reviewed reports, checked shelves, checked in with vendors at least weekly to maintain a high level of customer service. When vendor was not getting product to us, tracked down why and if it was a matter of indifference by the vendor, negotiated with different vendors for better cooperation to get product to the customer. Inventory was audited each quarter by heads of departments.Administrative Assistant - For two years I worked as file clerk and assistant, I filed, helped with payroll, purchasing, bookkeeping, collections, Human Resources and AP/AR. I also assisted with shipping and receiving when needed. This was one of five offices and the cooperation between this office and the other four branches was imperative.
